The role you’ll contribute:

The purpose of this position is to create a safe, secure, pleasant experience facilitating the flow of business for Corporate Services employees, vendors and guests, by providing exemplary service through knowledge, awareness, voice communications and personal interactions. The person in this position offers a warm welcome to community leaders, AdventHealth Board Members, Executives, requiring the highest level of tact, professionalism, and commitment to service; additionally, perform administrative support, handles special projects, fully knowledgeable of all Campus Administration policies, and safety procedures.

Security

  •          Must be alert to surroundings and to be able to handle or find resources to assist during any situation that may arise, i.e., security, deliveries, protestors, disgruntled visitors, etc.  
  •          Carefully follows and knows all safety and security procedures.
  •          Responsible for inventory of security badges which includes checking access badges in the overnight drawer, updating the security badge log and tracking any badge that has not been returned, following the designated procedures.  Front Desk is responsible for attempting to track down checked out access badges.
  •          Ensure all team members are aware of and properly utilize the Visitor Management system.
  •          Assigns appropriate access badges to approved AdventHealth employees and follows procedures for non-employees that need an access badge.
  •          Maintains organization and labeling of various keys for Campus Administration.
  •          Monitors security cameras of assigned building and exterior around assigned building.
  •          Operates access badge program and security camera program efficiently.
  •          Acts as a recorder for Security officers during an incident recording date, time and description of what officer sends via radio or cellphone.
  •          Has knowledge and education of how and when to use panic and lockdown alarms.

Campus Administration

  •          Handles campus-related responsibilities and assigned projects on a timely basis, with accuracy, and with appropriate communication & teamwork. Assists with special projects upon request.
  •          Receives calls, questions, and reports of problems regarding Campus issues; and escalates to supervisor as appropriate.   
  •          Follows procedure in opening and closing front desk and ensures that the front desk and the doors are secure. Has the ability to handle all front desk duties in absence of the other team members at all corporate campus locations. 
  •          Immediately communicates and escalates any weather alerts or security-related incidents, or emergency.
  •          Communicates updates for updating Connect Site, Cisco Attendant Console, Corporate Phone
  •          List, Distribution Lists and Administrative Assistant updates.
  •          Serves as concierge for staff and visitors.  Greets and directs all visitors courteously and professionally.  Provides appropriate assistance and directs vendors to proper location by contacting the assistant.  Exhibits a positive attitude and security awareness.
  •          Communicate Facilities needs via Facilities Workorder system.
  •          Serves as a liaison for corporate staff and system personnel, responding to inquiries regarding all facets of corporate operations.  Point person for dry cleaning.
  •          Assists with additional projects or requests as directed by the Facilities Security Supervisor.

Phones

  •          Answers telephone promptly, handles the needs of the caller professionally and expeditiously.
  •          Operates automated attendant program efficiently and assists team members with all phone -related inquires. 
  •          Answers door call boxes promptly, screens and allows door entry as needed. 
  •          Screens and directs incoming calls to Administrative Assistants for Directors and above.

The expertise and experiences you’ll need to succeed:

EDUCATION AND EXPERIENCE REQUIRED:

  •          3+ years' experience as a receptionist / administrative support, or security/law enforcement experience
  •          MS Office experience
  •          Customer Service experience

EDUCATION AND EXPERIENCE PREFERRED:

  •          High School Diploma or associate degree in business, office management, criminal justice is desirable or a comparable combination of education and experience
